Welcome to The Hot Box Sauna. By accessing or using our services, you agree to comply with and be bound by the following Terms and Conditions. Please read them carefully before making a booking or using our facilities.
1. Booking Policies
1.1 How to Book
Bookings can be made online through our website (https://thehotboxsauna.ie) using our booking system. Walk-ins are subject to availability.
1.2 Age Restrictions
Our experiences are strictly for individuals aged 18 years or older. Proof of age may be required, and entry will be refused to anyone under 18.
1.3 Group Bookings
For large group bookings beyond the standard offerings on our booking engine, please contact us directly at info@thehotboxsauna.ie. Custom terms may apply.
1.4 Bundles
Bundles are assigned to the purchaser’s email and cannot be manually transferred retrospectively.
2. Cancellation and Refund Policies
2.1 Cancellation & Rescheduling

Cancellations must be made at least 24 hours before the scheduled session to qualify for a refund.
-
Rescheduling is allowed up to 5 hours before the session.

Both cancellations and rescheduling can only be processed through the smart link provided in your “Upcoming Sauna Experience” email, sent upon purchase.
2.2 No-Shows
Failure to attend a booked session without prior notice will result in the forfeiture of the full booking fee. We can only process cancellations or reschedules that comply with our policy.
2.3 Late Arrivals
If you arrive late, you will lose that portion of your booking time. Missed time cannot be carried over to the next session, as this affects availability for other guests.
3. Loyalty Program
3.1 Rewards
Customers can earn a free session after 9 paid check-ins, receiving the 10th session free. This is facilitated by our physical loyalty card, available at all locations. After 50 sessions, we will issue complimentary merchandise from our store. This does not apply to group bookings.
3.2 Eligibility
Loyalty rewards cannot be redeemed in conjunction with other offers or discounts.
4. Health, Safety, and Assumption of Risk
4.1 Health Declaration
By booking or attending The Hot Box Sauna, you confirm that you are in good health and have no medical conditions that could be adversely affected by sauna, cold plunge, or rapid temperature changes. These activities may not be suitable for individuals with heart conditions, high or low blood pressure, respiratory issues, epilepsy, skin sensitivities, or other health concerns. If you are pregnant, under the influence of alcohol or drugs, or have any concerns about your health, you must consult a healthcare professional before participating.
4.2 Prohibited Activities
The following are strictly prohibited:

Consumption of alcohol or drugs before or during your session.

Bringing glass or sharp objects into the sauna.
4.3 Assumption of Risk
You acknowledge and accept that sauna and cold plunge use involves inherent risks including, but not limited to, dehydration, overheating, cold exposure, slips, and falls. You agree to follow all staff instructions and safety guidelines and to inform staff immediately if you feel unwell or experience discomfort during your session.
4.4 Liability Waiver
To the fullest extent permitted by law, The Hot Box Sauna and its staff shall not be liable for any injury, loss, or damage incurred during your visit, except where such liability cannot be excluded under Irish law.
4.5 Outdoor and Natural Surroundings
If you decide to enter any natural surroundings or water sources near our facilities, you do so entirely at your own risk. The Hot Box Sauna and its staff are not responsible for injuries or incidents occurring outside our controlled premises.
4.6 Personal Belongings
You are responsible for securing your personal belongings. The Hot Box Sauna is not liable for lost, stolen, or damaged items, except where this results from our negligence. This includes but is not limited to bathing suits, jewellery, smartwatches, glasses, lenses, towels, and footwear.
5. Customer Conduct
5.1 Behavioural Expectations
We expect all customers to:

Respect staff and other guests.

Adhere to the session schedule.

Follow all posted and communicated safety instructions.

Be responsible for their own belongings.
5.2 Policy Violations
Failure to comply with our conduct guidelines may result in immediate removal from the premises without refund.
6. Privacy Policy
6.1 Data Collection
We collect customer data to manage bookings, process payments, and improve services. Please refer to our Privacy Policy for full details.
6.2 Third-Party Services
Our booking and loyalty systems integrate with third-party providers. By using our services, you consent to their terms.
7. Intellectual Property
All content on this website, including text, images, and branding, is the property of The Hot Box Sauna and may not be used without permission.
8. Amendments to Terms
We reserve the right to update these Terms and Conditions at any time. Changes will be posted on our website and take effect immediately upon publication.

Memberships - TnCs
Membership Terms & Conditions – The Hot Box Sauna
1. Membership Access & Bookings

Memberships provide a set number of sauna sessions per month, based on the plan selected.
-
Members can book sessions via our online platform; advance booking is recommended to secure preferred time slots.

Sessions are subject to availability and may vary by location.
-
Members must check in with their registered name and/or a valid photo ID prior to each session.
-
Unused sessions do not roll over into the following month unless otherwise stated in a promotion.
-
Memberships may not be shared, transferred, or used by anyone else.
2. Session Expiry Policy
All membership sessions must be used within the month they are allocated. Unused sessions do not carry over into the following month and cannot be refunded, credited, or exchanged. Each month’s allocation resets at the start of the next billing period.
3. Cancellations, Reschedules & No-Shows

Cancellations must be made at least 24 hours before the scheduled session time.

Sessions cancelled less than 24 hours in advance, or no-shows, will be deducted from your monthly allowance.

Reschedules must be made at least 5 hours before the scheduled session time.
4. Refund Policy & 14‑Day Right to Cancel

If you wish to cancel before your next billing cycle, your membership will remain active until the end of the paid term.
-
Memberships are non-refundable once the billing cycle has begun.

In the event of long-term illness or relocation, please contact support@thehotboxsauna.ie for consideration of a prorated refund or credit.
-
Where a membership is purchased online, you may cancel within 14 calendar days of purchase without giving a reason.
-
If you have not used any sessions, we will refund all fees.
-
If you have used sessions during this period, we will refund fees less a pro‑rata amount for the sessions used.
5. Contract & Billing

Monthly memberships are subject to a minimum 3‑month term unless otherwise stated.

Payment is collected via direct debit on a monthly basis.
-
After the initial term, memberships continue to auto renew on a rolling monthly basis until cancelled.
-
A notice period of 2 weeks is required to cancel a monthly rolling membership.
-
Annual/12 month memberships are payable in full at the time of purchase and are non refundable.

Freezes cannot be performed on site, please email us at support@thehotboxsauna.ie to request a freeze.

It is the member's responsibility to ensure payment details are up to date.

Failed Payments: If a payment fails, we may retry your card/mandate and suspend booking access until payment succeeds. If payment is not received within 7 days, we may cancel the membership. Outstanding balances remain payable.
6. Upgrades & Freezes

You can upgrade your membership plan by contacting our support team with at least 5 working days’ notice before your next billing date.

Membership freezes are allowed once per year for up to 2 weeks (after a continuous 3‑month membership). Requests must be submitted in writing to support@thehotboxsauna.ie.
7. Safety & Conduct

Members are expected to adhere to all sauna safety protocols and hygiene standards.

Inappropriate behaviour, disregard for staff instructions, or disruptive conduct may result in suspension or cancellation of membership without refund.

Please arrive early enough to start your session on time. Entry is not permitted after the session start time.
8. Changes & Closures

We may update these terms with notice on our website/app and by email. Material changes take effect from your next billing period.

If events beyond our control (e.g., severe weather, utility outage, emergency repairs) require closure, we’ll provide alternative times, location access, or session credit where reasonable.

We process your personal data to manage your membership and bookings. See our Privacy Notice for details, including your GDPR rights.

We use Shopify as our booking and payment processor.
